Position Overview

Responsible for all aspects of the property. Must be acquainted with all types of leasing tools and be able to assist in any capacity necessary in the apartment complex. Make sure the property complies with all statutes, regulations and laws, federal, state and local governments, i.e. fair housing laws, ADA (Americans with Disabilities Act), OSHA (Occupational Safety and Health Administration) and EEOC (Equal Employment Opportunity Commission).

Job Summary:

  • To work 40 hours per week, Monday to Friday 8am to 5pm. One hour lunch, unpaid.
  • To work additional hours if required.
  • To be on call for maintenance or security emergencies as required.

Responsibilities:

  • Maintaining up-to-date awareness of current and upcoming apartment availability so as to accurately inform prospects of their rental options
  • Overseeing move-ins and move-outs, including thorough and accurate completion and filing of associated paperwork and digital records
  • Overseeing make-readies, ensuring prompt and thorough maintenance, repair, and cleaning of apartments for re-leasing between tenants
  • Maintaining strong familiarity with property policies and amenities (on site and local to the property)
  • Fielding inquiries by phone, email, and in-person with promptness and professionalism
  • Conducting apartment viewings and property tours
  • Clear, accurate, prompt and consistent recording of phone, in-person, and online interactions with prospects using provided software (e.g. Rent Manager)
  • Keeping up-to-date records relating to prospects (e.g. contact info, preferred unit type, range of possible move-in dates, source of lead, special requirements, additional notes, etc.)
  • Keeping up-to-date records relating to residents (e.g. primary and secondary contact info, notes, etc.)
  • Processing of paper and online applications, including upholding of rental criteria, collection of requisite fees, background checking, reference checking, etc.
  • Collection, proper recording, banking and returning of security deposits
  • Preparing all lease-related paperwork and digital records, ensuring adherence to all relevant regulations
  • Processing renewal notices and renewals; proper completion of all associated paperwork and digital records
  • Collection and proper recording and banking of rent and other fees
  • Performing inspections of apartments as required
  • Preparing and distributing written notices to tenants and staff (e.g. apartment entry notices, notices to vacate, etc.) in accordance with legal requirements and community policies
  • Actioning evictions if required
  • Managing routine and emergency pest control, ensuring prompt treatment of apartments upon any report of pests
  • Responding promptly and consistently to emergency calls
  • Overseeing maintenance and condition of grounds. Making certain that sidewalks, courtyards, parking lots, foyers, laundry, clubhouse and office, etc. are clean and free of trash at all times.
  • Supervising maintenance staff and other hired contractors as required (e.g. cleaners, carpet installers, etc.)
  • Scheduling maintenance, ensuring that maintenance requests are completed with courtesy and promptness, striving for 24-hour service.
  • Creating, distributing, overseeing the prompt completion of, recording, and closing out service orders with accuracy and promptness
  • Supervising the security team
  • Completing timesheets and overseeing staff completion of timesheets with accuracy and promptness
  • Preparing of reports as required
  • Proper handling of banking, purchase orders, invoices, etc.
  • Preparing monthly newsletter
  • Prompt, accurate filing of all paperwork and digital records
  • Communicating in a professional manner with manager, residents, vendors, other staff members, and the general public, treating all in the workplace with courtesy and respect..
  • Other managerial duties as assigned by the property supervisor

Technological Competencies:

Must be proficient in Microsoft Word, Powerpoint and Excel. Familiarity with web browsers and ability to use the internet for a variety of required tasks. Familiarity with a variety of computer operating systems and rent management programs (e.g. Rent Manager) preferred, with an ability and willingness to learn new technological skills required. Must be able to use phone, cell phone, printer, scanner, and other office equipment as required.

Mathematical Skills:

Ability to apply math concepts (e.g. lease amounts, pro-rates, etc.) Ability to apply fractions, percentages, ratios, and proportions to practical situations.
